WhatsApp Chatbot for Business · Free vs. Custom
Where your customers already write to you.
What you can do for free, what chatbot tools do, when a custom bot makes sense, and what it costs.
For a handful of messages, the free WhatsApp Business app is enough. To
answer automatically, take orders and record them in your system, you need
the official WhatsApp API, through a chatbot tool or a custom build. What
never makes sense is automating WhatsApp through unofficial routes.

Three options
From free and manual to automatic and connected.
WhatsApp Business app
Free. Greeting message, away message, quick replies and catalogue. A person
answers, on a phone. Enough while the messages are few.
Chatbot tool
Ready-made platforms on the official API, with a limited free plan and
paid plans. Good for menus and FAQs. They get complicated when you need
to connect your own system.
Custom
On the official API, connected to your ERP, CRM or spreadsheet. It understands
the order, records it, checks stock and prices, and hands over to a person
when needed.
What a good WhatsApp chatbot can do
And when it has to hand the conversation to a person.
- Answer opening hours, prices, stock and order status, at any hour.
- Take an order written the way the customer writes it, and enter it in your system.
- Book a visit or a call.
- Hand over to a person, with the full context, when the message is a complaint, a negotiation or something it doesn't understand.
- Keep every conversation recorded against the right customer in your CRM.
What it really costs
"Free" is almost never the final number.
Meta. On the official API, Meta charges for certain messages,
mainly those the business starts with templates, such as reminders or promotions.
Replying to a customer who wrote to you recently is generally free. Meta
sets the rates and they change.
The tool. A monthly plan that rises with the number of contacts or conversations.

The setup. Designing the replies, connecting your system
and testing it with real messages. This is the part that most decides whether
the bot helps or annoys.
The upkeep. Prices, products and questions change. A bot nobody updates starts giving stale answers.

What to avoid
- Unofficial tools. Tools that automate WhatsApp Web or the regular app can get your number blocked by Meta.
- A bot with no way out. If the customer can't reach a person, the bot drives them away instead of serving them.
- Mass messages without permission. Meta limits and blocks numbers that send promotions to people who didn't ask for them.
- Data without control. Chats contain names, phone numbers and orders: personal data under Law 7593.
Frequently asked questions about WhatsApp chatbots
- Can I have a WhatsApp chatbot for free?
- Partly. The WhatsApp Business app is free and includes greeting messages, away messages and quick replies, but it is not a chatbot. Chatbot tools have free plans with limits, and even then Meta charges for certain messages sent through the official API.
- What is the difference between WhatsApp Business and the WhatsApp API?
- WhatsApp Business is the phone app: one person uses it, by hand. The WhatsApp Business API is the official connection for systems: it lets a program receive and send messages, lets several people answer the same number, and keeps everything recorded in your CRM or ERP.
- Can my number get blocked?
- Yes, if you use unofficial tools that automate WhatsApp Web or the regular app. Meta detects that use and can block the number. With the official API and by following its messaging rules, that risk goes away.
- Can the chatbot use artificial intelligence?
- Yes, to understand what the customer writes and prepare answers about your business: products, prices, orders, opening hours. Meta does not allow the API to be used to offer a general-purpose AI assistant; a bot that handles your company's enquiries is allowed.
- What does a custom WhatsApp chatbot cost?
- It depends on what it has to do and which systems it connects to. In Paraguay we work at USD 70 an hour or USD 560 a day, or at a fixed price if we agree one beforehand. Meta's per-message fees come on top and are paid directly to Meta.
