ChatGPT for Business · What It Can and Can't Do
Useful every day. Not an employee.
Where ChatGPT helps in a company, where it gets things wrong, what happens to your data, and when to go beyond the chat window.
ChatGPT is very good at drafting, summarising, translating and organising
information. It does not know your company's data, it can be confidently
wrong, and it does nothing in your systems on its own. For that, AI has
to be built in where the work happens.

What ChatGPT does well
The first draft of almost anything.
Drafting
Emails, proposals, product descriptions, posts. You edit instead of starting
from a blank page.
Summarising
A long contract, a meeting, an email thread: what matters, in one paragraph.
Translating
Between Spanish, English, Portuguese and German, with a tone you can adjust.
Analysing
An exported spreadsheet: trends, comparisons and a chart, without formulas.
What it doesn't do
And why ChatGPT pilots stay stuck in the chat window.
- It doesn't know your company. Not your stock, your prices or your customers, except what someone pastes into the chat.
- It is confidently wrong. It can invent a fact or a figure and present it as convincingly as a correct one.
- It doesn't act in your systems. It won't enter an order in the ERP or answer a customer's WhatsApp on its own.
- It takes no responsibility. Whatever leaves the company with an error is still the responsibility of whoever sent it.
What happens to your data?
Your team probably uses it already.
In most companies, someone already pastes customer emails, price lists
or spreadsheets into ChatGPT from a personal account. In personal accounts,
what you type can be used to train models unless it is switched off.
Business plans exclude your data from training by contract and give you control over who uses what.

In Paraguay, Law 7593 of 2025 on personal data protection turns this from
good practice into an obligation: customer and employee data have rules.
In practice: a company account, a clear rule on what may and may not be pasted in, and half an hour of training for the team.

From chat to integrated AI
When the same task comes up fifty times a week.
Copying an email into ChatGPT, asking for a reply and pasting it back
works once. If your team does it all day, the real work is still copying
and pasting.
The same models can be connected to your email, your ERP or WhatsApp, with your data and your rules.

Then the AI reads the enquiry, looks up the price in your system and prepares
the reply, and a person checks it before it goes out.
That is not a chatbot in a corner of the website: it is AI doing part of the work, with someone in charge.

Frequently asked questions about ChatGPT at work
- Is it safe to put company data into ChatGPT?
- It depends on the account. In personal accounts, what you type can be used to train models unless the user switches that off. In business plans, OpenAI commits by contract not to use it for training. For personal data of customers or employees, Law 7593 applies as well.
- ChatGPT, Claude or Gemini?
- For everyday office work, all three are good and they swap places every few months. Choose by where your team already works (Microsoft, Google or something else) and by the data terms of the plan, rather than by who wins a comparison this month.
- Can ChatGPT connect to my system?
- Not on its own from the chat window. The models behind ChatGPT can be used through an API, and that is how they connect to your ERP, CRM, email or WhatsApp. That is integration: someone has to decide what data the AI sees, what it does and who checks the result.
- Can ChatGPT replace an employee?
- In practice it takes tasks away, not people: the first draft, the summary, the translation, the lookup. Judgement, exceptions and anything a customer will remember are still a person's job.
- What does it cost to integrate AI into my company?
- It depends on how many processes and systems it touches. In Paraguay we work at USD 70 an hour or USD 560 a day, or at a fixed price if we agree one beforehand. The first 60-minute call is free.
